4 Learning Management Reports Every HR Department Needs
How do you keep track of which employees have completed–or not completed–required training? That can be difficult at best. Unfortunately, not all learning management systems can track everything you need to know.
It’s one thing if all training is consumed through an LMS, but that’s not always the case. What happens if some of the training is through 3rd party external training or on-the-job training? What if multiple people have to sign off on completed training? Also, we continually find that not everyone in the company needs the same information. We’ve also found that companies want managers to receive information only on their direct reports. In fact, there are so many different variations on how information is reported and who should get what information that it would be almost impossible to list all of the different variations.
However, in talking with our customers, we found that there are four general reports that every HR department should be getting.
Onboarding and Compliance
As new employees come on board, they require specific training. Your HR onboarding report needs to quickly reveal exactly who’s on track to complete their requirements–and who isn’t. The system must also notify learners and managers when training is coming due–or past due. Additionally, Managers should also get similar reports for their direct reports. That kind of visibility ensures that everyone is getting through the company’s required training materials.
New Position Training
All new employees have certain required training that they need to complete. But what about someone who is transferred or promoted to a new position? Every job has skills and competencies that are specific to that position and there should be a learning track–the aggregation of required training–created. Ideally this should be automated for each learner as well as the intelligence to determine which skills and competencies the person may already have. With that in place, HR now needs to be able to receive regular reports of who is and who is not progressing through their training plan. While perhaps not as critical as compliance training, ensuring that people are properly trained for the position they hold will increase job satisfaction, retention and productivity–and sometimes even workplace safety.
Certification and Re-Certification
Whether you have simple certification monitoring or complex requirements, you still need to know where you stand. Your LMS should be able to determine how many required and/or elective activities are needed for certification, be able to track specifics such as expiry dates, multi-jurisdiction, issuing authority, license number or cost–with the ability report on any of these factors.
Individual Development Plans
Are your employees progressing through the training they need in order to achieve the goals they have set for themselves? Spotting which employees aren’t progressing is often an early warning of job dissatisfaction which can lead to turnover. By getting regular reports of who is who is not improving their skills and competencies, HR departments can address potential situations before they turn into problems or lost resources. Timely reporting can also play an important role in regular employee assessments.
Track Everything, Report on Anything
An LMS that truly defines your workflow should accommodate any sort of training that your employees can receive. And, it should track all of the information that you require while also providing the ability to easily create custom reports.
