Course Manager

A drag and drop course builder where you add one or more activities to create your course. Activities include SCORM, AICC, Document, PDF, Powerpoint, Survey, Checklist, Assessment, Video, URL, Custom Web Page, License Activity, Assignment, Scheduled Class, Webinar, Section, Podcast with LTI and xAPI coming anytime.  You control the order of activities and can group activities into sections, where you cannot go to the next section until the current section is complete. For the user, it’s as easy as following the numbers. 

Use any web collaboration produce like Zoom or Teams. Add self-paced activities like videos, surveys and assessments to create a true blended learning experience. Automatic attendance taking and recording management. 

Build surveys, assessments, checklist and checkpoints. Includes support for file uploads and electronic signatures. Deliver as an activity in a course or a free standing instrument. 

Define training to be completed by equivalent courses that may be other deliveries. , or define a new course as replacing an old course, where someone who completed the old course does not need to do the new course.  Supports partial equivalency meaning a 4 hour course might cover the same content as a 2 hour course so it is equivalent, but the 2 hour course is not, because it does not cover as much content. 

Define prerequisites where ALL courses prerequisites courses must be completed or ANY prerequisite course. Also supports prerequisites based on enrollment status, as in you can enroll in this course as long as you are also enrolled in some other course. 

When turned on, enable a course to be tied to a version. As history is added, users are documented as training to that version. Revise the course, and if a major revision, the system will manage the work around retraining to the new version including alerts and escalation. 

Push the course into one or more learning tracks and course libraries/audiences in a single action as opposed to having to go into each learning track or library one at a time. If you have 100 courses that have to be pushed into 10 learning tracks or catalogs, this can save you many, many hours. 

Registration

Users always enroll, launch, join sessions into training through a standardized course home page. There is just one user experience to master, and it’s intuitive, pleasing to the eye, responsive and easy.

Batch enroll one or more people all at once which can also send out email confirmations. If it is easier, batch enroll people via a spreadsheet import. An API is also available to batch enroll people from an external system. 

If you use sharepoint, wordpress, slack, yammer or have your own portal pages, you can embed course listings and a calendar from which users can find and register into training and launch self-paced training. They do not need to access LMS services from within the LMS. 

Embed a link to any courses, scheduled event, curriculum and a host of LMS features into emails, PDFs and portal  pages. On click the user is authenticated and then lands into the end point of the URL. Why have users navigate through the layers of an LMS when they do not need too. 

AbilityLMS includes a searchable engagement platform where you can find any elearning, video, document, job-aids, class or webinar by keyword, delivery and date range. If you have hundred or thousands of resources, you can add them a wish list. Resources are always track to a minimum of who has accessed the resource and how many times. 

This is an optional feature that when turned on, allows the user to nominate courses they have taken including the upload of certificates and receipts. Based on your preferences, this can be routed to someone for approval. 

This is a post login-landing page that will present color coded tiles of enrollments, assignments, transcripts and other more specialized tiles. These tiles offer simple and easy to understand terms that make clear the tiles intent while offering a summary of the number of records that will present when they click through or touch the tile. The eliminates cognitive overload and makes the system very easy to use and easier to adopt. 

Centralize your classroom and webinar training schedule to a single universal calendar. Users have one place to register into any scheduled training including a cool feature where once a training topic has been select, a toggle to list to all upcoming events for the topic.  Whether you use Zoom, WebEx or some other web collaboration tools, including if you have multiple webinar accounts, this registration feature will offer a single centralized user experience for finding scheduled training as well as joining the session regardless of the web collaboration tool used. 

Every AbilityLMS client has different needs so we made it so you can choose 6 different landing pages to land into after authentication. For example, you may only offer 1 on-line course, so why not land the person into the course. Or, you may have only 6 courses, where landing the user into the engagement platform is more streamlined. Or you may only want users to see courses assigned, so land the user to the My Assignments screen. This level of flexibility can also be applied to different portals. Having the option to choose what best meets your needs is a major design feature of AbilityLMS.

Assign and Organize

Training Requirement Matrixes are called Learning Tracks for groups of people and IDPs (Individual Development Plans) when made for the individual. Courses can be made required or elective, as well as work credits. Completion of the track/plan can be when any combination of required courses, electives and credits are satisfied. Users can be manually assigned, assigned from a spreadsheet import, and auto-assigned based on user defined rules such as “Is New Hire” or for certain job titles and locations. A course in a learning track can have enrollment rules which override the default enrollment rules. For example, the course in a learning track for non-supervisors requires someone on the back-end to enroll them, where as that same course for supervisor is open enrollment. Likewise a course for non-supervisor may have an annual refresher training requirements, where as a course for a supervisor may have a 3-year refresher requirement. 

Ability includes a standardized tool to batch select people and courses for many back-end administrative tasks. For example, a tool to batch enter training history which allows for multiple people to be selected at once, and multiple courses/topics to be selected with a roster upload for document management. There is batch entry to drive assignments, enrollments into classed, for marketing. There is batch entry to remove people en-mass from a learning track. There is batch entry to add courses to multiple learning tracks at one time, and batch entry to add multiple courses to a learning track at one time.  AbilityLMS tries to automate as much as possible to respect the value of your time. 

Training can be defined to expire X days from completion or at the end of calendar or fiscal year. From time to time there is a need to expire all courses at once, or to extend an expiry date when a replacement course is not available. Sometimes expiry is better defined to consider courses complete only between effective dates. Expiry can be more complicated when there is an initial course to complete and a refresher course to complete on expiry of the initial course, which AbilityLMS handles well. Likewise, expiry is also properly managed when a course equivalency is used. 

AbilityLMS can track anything else where you want there to be a history record created. Examples can include skills and competencies, parking permits, evaluation forms and medical tests. Bear in mind, this thing you want to track can also be assigned, which means you can also track when assigned, when due, when completed and when it renews. This thing also flows into the alerts engine so completion can be marketed and reminded until it is done. 

A static group is simply linking users (or courses) to a group you name. A dynamic group is a dynamically determined each time you request records for the group such as who reports to a selected supervisor, who works in a certain department or who has a certain job title in a certain location. Any combination of fields on the learner property property screen can be used to create a dynamic user group. User groups can be assigned to back-end users to auto-regulate what people they can see. They can be used to auto-assign training, for target audiences in a communication and for preselection of users for a report. 

When the supervisor field is used in the learner profile, the system will automatically build the reporting hierarchy as a dynamic user group, and promote supervisors to the manager role on the back-end so they can view their people. This automation eliminates a significant amount of back-end administration while also providing better control of what date people can access.

Batch enroll, batch communicate, reserve seats for a department, print sign-in sheets and name badges, upload signed rosters, automated attendance tracking, QR codes for enrollment, copy a class, make a class recurring, cancel a class, assign one or more trainers, make the class multi-session, change webinar accounts, manage webinar records… AbilityLMS offers a complete and well engineered assortment of tools and automation that will managing any type of scheduled training easy and fast. 

This optional feature allows you to grant access to a course, a class, a learning track or a collection of courses and learning tracks through the entry of a subscription code. You can use the system generated subscription does or define your own. Subscription codes are always date sensitive and can only be used so many times. You can always extend subscription codes. Subscription codes can also be used behind the scenes. For example, if e-commerce is used, the approved transaction generates a subscription code and auto enrolled the user into the course or if quantity is greater than one, emails to the buyer the subscription code to distribute to their users. 

AbilityLMS is clone nirvana as cloneable records include courses, learning tracks, classes, communications and reports. Cloning records saves times and it is not uncommon for the cloning tools to save clients hundreds of hours annually when the system is heavily used.
