On-the-Job Training Could Be Hurting Your Organization
While there is a lot of marketing hype on e-learning and technology-based training, on-the-job training (OJT) is still one of the most important and essential forms of training needed to develop a skilled and competent workforce.
All organizations provide some sort of on-the job training, but most are unaware of how far technology has come to make the management of on-the-job training easy while drastically reducing risk exposure and the loss of time that can be used for other organizational needs.
According to various studies, organizations report that 70-90% of a person’s job knowledge is learned on the job and only 10-30% is learned in formal training events. Because the training takes place on the job, it can be highly realistic and generally considered inexpensive because no special equipment is needed other than what is normally used on the job.
While the goal of OJT is often used to teach basic workplace skills, it also instills aspects of the workplace culture and performance expectations in the new employee. Thus, it becomes an effective approach that many organizations use to provide new employee onboarding information.
So What’s Wrong with On-the-Job Training?
While informal on-the-job training plays a key role in organizational training, it has a fundamental drawback that can open the door to citations, litigation, injury and more. An employee was supposed to receive on-the-job safety training doesn’t show up. There’s no record of the employee being there or not being there. Further, there’s no record of exactly what was covered.
The main problem with OJT is it rarely documents:
- Exactly what was covered.
- Who did the training.
- When the training was done.
- Who attended.
- Feedback from the attendees.
This lack of documentation can expose companies and their employees to both safety and other regulatory violations. When facing an OSHA or other regulatory audit, not having this information readily available can be extremely costly in terms of internal resources trying to compile the data, fines and public relations issues.
Effective Documentation of On-the-Job Training
MaxIT worked with many companies who wanted something to address this issue and came up with a brilliant solution: E-Rosters — a mobile-ready, add-on app to MaxIT’s LearnerWeb LMS.
MaxIT’s E-Rosters capture training activity at the point of delivery and is adaptable to client workflows. This is a true, paperless solution with rich adaptability to client workflows and a variety of use cases. In fact, MaxIT’s E-Rosters can do a lot more than just capture training activity.
The first key element of the E-Roster app is ease of use. Both OJT trainers and workers need to be able to use the app with no-training. The user experience is sleek and touch enabled. In most cases there is no worker look-up because the trainee is automatically associated through the LMS to the OJT Trainer or training requirement. When there is a need to look up a worker, simply enter in the first few letters of their last name to see a list of potential matches.
The second key element is the recording of the training. This might be simply saving a name in the roster, but might include recording an electronic signature from the learner, trainer or supervisor. Or perhaps the manager needs to sign-off that they are satisfied the worker can perform the tasks.
MaxIT’s E-Rosters can capture pictures or videos of the process being trained. This provides better documentation of the training, the work environment and how well the user can perform.
Trainers can also capture feedback as part of the training process with user definable questions. Not only can you capture the training, you can capture data such as how well the worker can perform, how quickly they can perform and whatever level of feedback you need.
Although E-Rosters are mostly thought of as a tool for the OJT trainer, our approach allows you to build an E-Roster to self-report with options to route the E-Roster to approvers such as a Trainer, Supervisor or process owner.
E-Rosters can also be set up to communicate to other applications and processes as well, not just the LMS. For example if someone successfully completes a training, this may notify an employee access system so that they can now operate a machine or access a secured room.
You can even create E-Rosters as a way to record external training which can have all of the features mentioned above.
As all of the information in the E-Roster is stored as a training record in LearnerWeb LMS, it’s accessible at any time through various views and reports. By storing everything in a central database, you avoid having information silos (which can be difficult at best to report against) and you have all of the essential information that needs to be tracked and the richness of data management that LearnerWeb can provide.
